To buy fabric wholesale, start with the customers you serve, confirm the unit and minimum quantity, then build a list of specific styles before asking for a quotation. Check samples, stock and delivery costs before approving payment.
A first order can help a fabric shop, boutique or tailor learn which designs customers will pay for. This guide shows how to prepare that order using African wax prints and African lace fabrics, with a buying list you can adapt to your own business.
1. Decide whether you need a sample or stock to resell
Write down what the purchase needs to achieve. A sample lets you examine a new fabric and discuss it with your tailor. Opening stock gives you pieces to sell or use for confirmed customer work. Those purposes can lead to different quantities.
If you sell fabric through WhatsApp, show customers the selected product photographs and record the exact designs they ask about. Tell them when availability still needs confirmation. If you make garments, begin with the intended outfit and have your tailor check the required length and width. A fabric retailer can start with customers’ existing requests and price expectations.
When comparing fabric suppliers for a small business, ask whether they supply existing stock or develop fabric to order. A ready-stock piece and a custom production run can have different minimums, sample procedures and lead times.
2. Check the order unit and minimum quantity
“One piece” should have a stated length. At SJD Lace, the starting quantities for these ranges are:
| Range | Standard piece length | Wholesale starting quantity | What to confirm |
|---|---|---|---|
| Wax print fabric | 6 yards, approximately 5.49 metres | 10 pieces | Selected designs, colours and available mixed quantities |
| African lace | 5 yards, approximately 4.57 metres | 1 piece | Selected style, colour, usable width and applicable quotation |
A wax sample purchase is separate from the ten-piece wholesale minimum. Ask about the selected sample and its shipping cost. Nine wax pieces plus one lace piece do not automatically meet the wax minimum. These are SJD Lace’s starting conditions; other suppliers set their own terms.
For a single-category purchase, our Holland Wax wholesale guide explains samples and mixed-design requests in more detail.
3. Build your first buying list around actual customers
Choose a role for each style before choosing its quantity. You might need a print requested by an existing customer, a lace for a planned occasionwear collection, or a sample to test a new finish. Avoid filling the list with several similar designs simply because they look attractive in photographs.
The real product examples below show two different buying decisions: a cotton wax print for a printed-fabric range and a purple guipure for customers seeking openwork floral lace. They are examples to inspect, not a fixed starter package or a promise of current stock.

Two ways to plan ten wax pieces
| Illustrative plan | Quantity | When to consider it | Trade-off |
|---|---|---|---|
| Two selected styles | 5 pieces per style = 10 | You already have requests for both designs | More money is committed to each design |
| Five selected styles | 2 pieces per style = 10 | You want to compare responses across five designs | Less depth per style; a customer may request more than you hold |
Both plans require stock and mixed-design approval. Neither is a universal recommendation. Add lace only where it serves a separate customer need and fits the delivered budget. You do not need every fabric category in your first order.
Prepare one line for every style and colour
| Category | Style / product link | Colour | Pieces | Reason for buying | Acceptable alternative |
|---|---|---|---|---|---|
| Cotton wax | Paste selected SKU | Specify from photo | Enter quantity | Existing request / test / stock | Specify or “none” |
| Guipure lace | Paste selected SKU | Specify from photo | Enter quantity | Intended garment or customer | Specify or “none” |
Keep product links or screenshots beside this list. A description such as “blue lace” is too broad to confirm an exact item.

4. Request product evidence before approving the list
Ask for current photographs or video of the selected style. For wax, check the complete print repeat and reverse side. For lace, inspect the full-width view, motif connections, decorative edge and any surface embellishment. Confirm composition and usable width for the actual reference.
A photograph cannot establish hand feel, exact fibre content or how much fabric a garment will use. When these details affect your purchase, request a sample and the relevant specification. Use our Swiss Voile sample checklist for a detailed inspection example, or compare categories in the African lace guide.
For matching group outfits, confirm sufficient pieces in the required colour and batch. A later restock may differ, so check availability before promising the same fabric to several customers.
5. Confirm the total cost and delivery responsibilities
When researching how to buy fabric in bulk, keep the full order budget beside your product list. Calculate each line separately, then add the costs that apply to your shipment.
| Cost or detail | What you need before payment |
|---|---|
| Fabric | Confirmed price × pieces for each selected style |
| Shipment weight | Estimated product weight, then packed and chargeable weight confirmed by the shipping provider |
| Transport | Route, rate, minimum charges and the services included |
| Destination charges | Applicable duties, taxes, clearance and local delivery that you pay |
| Payment and currency conversion | Final invoice currency and any charges you bear |
Mark every item as confirmed or awaiting confirmation. A blank freight amount does not mean free shipping. Check whether a forwarder’s quote already includes a charge before adding it again.
If you use your own freight forwarder, provide its warehouse address in China and delivery instructions. Confirm any delivery charge within China. Your forwarder handles the agreed international shipment and you pay its international freight charges directly. If you need help arranging international shipping, ask us to confirm available options and costs for your destination before payment.
Our Wholesale Fabric Planner can help organise an estimate. Check its figures against the quotation for your chosen order. The Ankara fabric price guide explains reference prices and a worked weight-based example. A catalogue fabric price is separate from a formal FOB quotation; confirm the agreed shipment terms and included charges.
6. Send a complete quotation request
Copy this brief and attach your selected product links or photographs. It gives the supplier enough detail to check the actual order.
Hello, I am planning a first fabric order for my business. Business: fabric retailer / boutique / tailor / reseller Selected styles or product links: Colour and number of pieces for each style: Acceptable alternative colours, if any: Delivery country and city: Freight forwarder in China: yes / no Required delivery date, if any: Please confirm current stock, specifications, fabric prices, applicable delivery charges, estimated timing and payment options.
Review the returned list before paying. Check that the quotation identifies each style, colour, quantity and agreed delivery arrangement. Confirm the payment instructions directly with us. Ask for clarification if a replacement design or charge has not been explained.
7. Record what sells before reordering
Give each purchased SKU a simple record. Keep enquiries separate from paid sales: a popular photograph may receive attention without converting at your selling price.
| SKU / colour | Pieces received | Paid sales | Unsold pieces | Customer feedback | Next action |
|---|---|---|---|---|---|
| Your selected reference | Record actual receipt | Record pieces sold | Count stock remaining | Price, colour, finish or other reason | Reorder / test alternative / wait |
Choose a review period that fits your selling cycle. Consider margin, stock remaining and the reason customers declined. Before reordering, check the same SKU’s availability, current price and batch. Avoid promising an exact repeat until the supplier confirms it.
Questions about a first wholesale order
Can a small business buy fabric wholesale?
Yes. The workable quantity depends on the supplier and product. SJD Lace starts lace wholesale at one standard piece and wax wholesale at ten pieces. Confirm your proposed mix and selected stock before ordering.
Should I buy wax and lace together?
Combine them when both serve your customers and fit your budget. Start with one category if that matches the demand you have. Check each category’s minimum separately.
How much money do I need for my first order?
The answer depends on the selected styles, quantities and delivery costs. Prepare a shortlist and request a quotation rather than using one fixed startup budget for every market.
Does a wholesale price guarantee profit?
No. Your result depends on total costs, realised selling prices, operating expenses and how much stock sells. Use local customer evidence when deciding the first mix.
